Technology Asset Recovery Process
SSI understands the importance of handling Technology Assets from the point they are picked up to the time they arrive at SSI to be demanufactured and remarketed/recycled.
Retired Assets that have value need to be properly handled so that they can be remarketed and/or have sensitive data needs sanitized from the asset prior to recycle or remarketing. SSI's secure chain-of-custody process starts at the location where the asset needs to be secure until it arrives at SSI.
Secure Chain-of-Custody Process
There are multiple ways to handle the data that may still be on the hard drives of the equipment being retired to insure that the data does not get into the wrong hands. 1. On-site Data Sanitization and/or Destruction 2. Thorough & Secure Chain-of-Custody Process
- On-site hard drive lockbox supplied with audited chain-of-custody management
- Special process handling provided by carrier
- Asset transfer to carrier until arrival at SSI
SSI Policy on the Remarketing Recovered Assets
- SSI only remarkets tested and refurbished equipment.
- SSI has a 30-day warranty policy.
- SSI performs data sanitization on all CPUs and servers to be remarketed.
- SSI removes all of the customer asset tags from the equipment.
- SSI removes all licensed operating systems to prevent customers from having legal issues with Microsoft®.
- SSI tracks all of the items that are remarketed.
Tracking the Material Flow Through the SSI Facility
SSI uses a robust information system to manage its inventory. A barcode system is used to identify incoming shipments and each asset to be remarketed. SSI's impeccable tracking system enables the staff to perform accurate asset tracking tasks. (Please see below for more detail.)
All of SSI's racks and shelves are bar-coded. All of the inventory is assigned a specific location code to allow SSI to manage the inventory and movement status of either processed materials or remarketable assets. SSI has dedicated inventory control staff to constantly record and monitor the “inbound and outbound” of each inventoried item and/or pallet from each location.
- Cycle counts are also performed as per SSI's preset time interval to ensure accurate recording within the system.
- Upon receipt of each shipment, all pertinent shipping information (receiving date, Bill of Lading No., carrier, ship-from party, total pallets and per pallet weight) is entered into the SSI database.
- Every gaylord/pallet will have a bar-coded Pallet ID label. This is to track the movement of every incoming shipment.
- When the pallets move to the asset recovery area, SSI will apply its internal tracking label (with bar code) to allow easy tracking of each asset throughout the entire process.
- For asset recovery services, SSI provides the following tasks. All critical information is recorded in SSI's database:
- Inspection
- System Auditing: This is particularly important for lease return assets. SSI will perform a system audit against original specifications. Detailed audit reports are provided which note all of the exceptions for easy and quick settlement with customers.
- Testing on Equipment and Components
- Secured Data Sanitization (for desktops and laptops)
- Refurbish and Component/Parts Upgrade
- Parts Harvest
- Inventory Management (for both whole equipment and components/parts)
- Cycle Count on Preset Schedule
- Prepare Bidding Document
- Posting Inventory for Buyers’ Review
- Award Bids
- Collect Payment
- Clean and Pack Out
- Logistics Coordination
- Preparing Outbound Shipment
- Generate Settlement Reports to Customers
